 How to fight SPAM Minimize

For most users two simple rules in Outlook or Outlook Express that deletes any email that comes from an address not in your address book or does not contain a password in the body of the email message will deal with SPAM.  These rules are simple to set. 

Outlook Express - this program comes with all Windows computers.  This program will not allow you to set a rule that will check the email's "from address" against your Address book but it does allow you to set a rule that will delete any email that does not contain a password that you set in the main rule.  For this to work, you must make sure everyone who emails you uses the password.  You can even put it in your signature so every email you send out makes the receiver aware that the only way they can email you back is to use the password.

In Outlook Express go to the menu and select Tools, Message Rules, Mail to open the New Mail Rules builder.

    1.  In the Select Conditions for your Rule, scroll down and put a check in the rule, "Where the message body contains specific words".  

    2.  In the Select the Actions for your Rule, scroll down and put a check in the rule, "Stop processing more rules".


    3.  In the Rule Description, click on the word "Contains Specific Words" and add the word, password, words, or passwords that the incoming email must contact to match this rule.


    4.  In the Name of the Rule enter "Main".


    5.  Click on Ok to save the rule.


The next rule we will create will delete any email that doesn't contain the words or passwords you set in the
main rule.  Click on New to create a new rule then:

    1.  In the Select Conditions for your Rule, scroll down and put a check in the rule, "For all messages". 


    2.  In the Select the Actions for your Rule, scroll down and put a check in the rule, "Delete it".

    3.  In the Rule Description, no action is needed.

    4.  In the Name of the Rule enter "delete".

    5.  Click on Ok to save the rule.

You will now have two rules, main and delete and the importance of this is main must appear before delete because rules process in order and you want the main rule to process before the delete rule.  If you have accomplished the above then you can close out the Message Rules by clicking on OK.

Your next task is to create a message signature so when you send an email the password information will also be at the bottom of the message. 

1.  In Outlook Express from the menu go to Tools, Options, Signature.

2.  Click on New to allow you to type in the text box the signature that will appear at the bottom of the emails.  I set, "The NET Connection, Inc." as my pass phrase in my main rule so I created a signature to appear at the bottom of each of my emails stating the following:

Your emails will automatically be deleted unless in contains the phrase, The Net Connection, Inc. in the email. Please include that phrase in all emails to me.

3.  After creating your signature, place a check mark in the Signature settings to "add the signature to all outgoing emails" and remove the check from "don't added to replies and outgoing emails".  Click on Ok to return to Outlook Express.


So we have created two rules, a main rule that sets your password, words, or phrases, a delete rule that deletes
any email that doesn't contain your password, words, or phrases, and a signature that contains your password, words or phrases informing those who you email that they must use the password, words, or phrases or their email to you will be deleted.  The beauty of this system is because you have included the phrase in your signature, any email that you send out, if the receiver replies and includes the original email you sent in the reply, their reply will arrive because you have included the password in your signature.  If you have newsletters that you like to also receive you can look closely at those newsletters to
identify words or phases that are always included in each newsletter and you can add that to your main rule to allow the newsletters to pass otherwise because they don't contain your password, words, or phrases newsletters will be deleted.

Outlook 2003 - Outlook it Outlook's big brother and it must be purchased or comes with some versions of Microsoft Office. If you have Outlook but use Outlook Express you are missing out on several improvements.  Most of the newer versions of Outlook will allow you to set a rule that will delete any email that comes from an email address that isn't in your address book.

Outlook users can use the same Rules method as Outlook Express users except in Outlook you don't have to set a specific word in the main rule as it provides the option of doing a lookup against your address book.  If the senders email address is in your address book it will not be deleted but if it is not in your address book you can delete it.

In both programs you can move emails to a folder for later review if you do not want to delete it.  In the delete rule select "Move to Folder" in place of "Delete it" and in the
Rule Description select the folder you want to move the emails to.  Be aware that over time this rule can fill up that folder and slow your mail program down so if you choose this option you need to make sure you review the contents of the folder and delete the SPAM from it manually.

Anti-SPAM Programs are a good method for dealing with SPAM but remember there are no such
thing as a set and forget anti-spam software.  Over time all programs require tuning and will snag valid emails so if you use one of the two programs I have listed below, take to the time to learn how to use them.  Please do not call our office for assistance in setting these programs up as they take considerable time and knowledge.  We will install and make default setups of these programs for you for a
fee, but you still must make adjustments to these rograms. We will installed and do a basic configuration of xTerminator or Spam Eater Pro for $30.  This fee does not include the price of the program, it only covers our labor for setting up the programs on your computer.  You must bring you computer to our office for us to setup the programs for you.


xTerminator

xTerminator is an excellent Anti-SPAM
software for those who don't want to become an Email Expert.  You
can download the software at

Just click on this link and select run to install the program to your computer then setup your Arkansasusa.com email account in the program.  It will start showing you the emails on our server allowing you to start training the software from you manual deletes.  It is really that simple. 

The software can be used in shareware mode but if you like it, the makers ask that you register it and pay a very reasonable fee of $12.50.  This is a great tool especially for those who use dialup accounts.  It will allow you to check you email while it is on our server and before you download it to your Outlook Express allowing you to delete suspect SPAM from your account while it is on our server thus not tying up your Outlook Express with long downloads.  You can set it to be fully automated and you can teach the program to auto delete emails based upon the emails that you manually delete.  I recommend this program and an basic entry level Anti-SPAM software.

Spam Eater Pro

Spam Eater Pro is in or opinion the best anti-Spam Software but  be warned, it isn't for someone who doesn't understand how email works.  You can download Spam Eater Pro at http://www.spameaterpro.com and try it for free for 30 days.  If you like it, the costs is less than $30.

The strength to any anti-Spam software is its filters. 
Filters are used to examine email and then take some action such as deleting it.  We will provide you some tips on how to create better filters but first you need to understand how anti-Spam softwares work.  Spam Eater Pro permits you to use Blacklist servers to block and delete email as well as Whitelists to allow emails from certain users to pass.

Anti-Spam softwares such as Spam Eater Pro, Mail Washer, xTerminator and most others don't really block SPAM.  What they do is use your email account
information to log into your account and read your emails then compare the contents of your emails to your filters.  If an email matches one your filters, then the anti-spam software does what ever the filter is set to do.  That
can be to allow the email or delete the email.  If the email is allowed, then it will be left for your email software to download, but if the email is targeted for deletion, then these emails send a command to our mail server telling it to delete the email.  Well thought out filters are the strength of any good anti-spam software.  You may use
a single copy of Spam Eater Pro to check more than one email account and you can check accounts on different services.  If you have email accounts on other services, you can setup different profiles which contain your login information for each service and Spam Eater Pro will check those emails.  

A single copy of Spam Eater Pro can be configured to scan the email accounts for everyone in the family or for all the email accounts for a small company using the same filters for each account.  

A word about McAfee's Spam software - you need to be aware that McAfee has a feature that if enabled it will leave suspect SPAM in your account on our mail server.  DO NOT use this feature as eventually your mail account on our server will fill up causing new email to be refused. 
Always configure you Anti-SPAM softwares to download you email then delete or move it to a folder for later review.  

Bouncing Email - many anti-spam software boast they can reduce you spam by bouncing the email back to the sender making it appear as if you email address isn't valid.  The problem with bouncing is most of the time, the return address isn't valid, so the email server that you bounce to will only return the bounced email, not to you but to our postmaster account.  This only increases our workload, eats up more bandwidth and resources and in the end results in greater costs for everyone.  Please don't bounce because it is a worthless effort that only makes matters worse.  The better solution is to "eat" (delete) the Spam.  Also never, never buy anything from an unsolicited email.  If they don't make money Spammers will stop sending spam.  They send SPAM because there are people who
buy the stuff they are selling in those SPAMs.

Installation:  When you
install Spam Eater Pro it will create your email profile by prompting you for your email account information.  You will need the incoming and outgoing mail server (normally that will be mail.arkansasusa.com) and it will want your email account name and password.  Your email account name is normally your email address and your password is often in caps or upper case.  Case matters with passwords so if you get an error the first time Spam Eater Pro tries to check you account for Spam, it is often because the password is enter in lower case and not upper case.  You
can edit the email account information by editing the profit for your email account. 


Configuration:  By default Spam Eater Pro installs some of the most common filters.  You can disable these common filters or you can set them to flag and not eat (delete) SPAM.  The software has two areas for you to work in and for the first week or so you will use these two areas often to fine tune your filters. 

Recent Messages - contains a list of emails that have been scanned and have passed Spam Eater Pros
filters as accepted email.  You can add filters to block any messages in this list and then set the message to be reprocessed during the next scan.

Archive Messages - contains a list of emails that have been scanned and have failed Spam Eater Pros
filters.  These messages have been deleted from the our server and if you wish to receive one of these messages, you must select it and recover it.  You can add a filter to always accept from the email address or the domain if you find an email message in this list from someone or some
domain you always want to receive email from no matter what.

Filters -  You can set filters to accept email or eat email.  Filters that eat can scan any part of the message for a word or phrase that you wish to use to block a spam.  For example the body of the message is the actually email
message and if you want to never receive message that contain the word SPAM in it, then you would add a body filter to eat any message that had the word SPAM in it.

TIP - Many of the new porn emails contain no words that
can be scanned.  They contain images that have words displayed in them so anti-spam software can't be used to block the email.  But there is a filter that will block this kind of email.  To block these new style porn emails, you can block the html code that is used to embed the email in
the message.  Add the below filter:

1.  Click on Add filter

2.  In the Description put  Porn Image Block

3.  In the Field select BODY

4.  In the contains... text... block type <img

5.  In the Then select  EAT

6.  Click on OK to add this filter to your filter list.

This filter will end the porn emails that have the images
contain it them.  It will also block all emails that have images embedded in them so if you have a friend or family member that likes to embed pictures in their email, ask them to attach them to an email message. If you have a mailing list that emails WebPages, contact the list and ask them to only send text messages. This filter does not block attached images and pictures, on those embedded. 


Block all email except those from my
address book.
  You can use Spam Eater Pro to block everyone except those you enter in your Spam Eater Pro address book.  Double Click on your Profile, go to Filters and select Advanced.  You can enable Spam Eater Pro for this profile to only accept email from your Accept filters list.
